Event Insurance Requirement

To protect both our guests and our property, all individuals or groups hosting an event with alcohol or any wedding at Moonlit Embers are required to purchase Special Event Liability Insurance for the date of their event. The policy must provide coverage for bodily injury and property damage that may occur during the event and must name Moonlit Embers and the property owner as an Additional Insured on the policy.

Proof of insurance in the form of a Certificate of Insurance (COI) must be provided prior to the event date. This coverage helps protect the event host in the unlikely event that a guest is injured or property damage occurs during the event.

Special event liability insurance is affordable and typically costs between $60–$200 depending on the size and type of event, and can usually be purchased online in just a few minutes.

Be advised – there is NO LIFEGUARD on duty and you must provide life jackets for anyone in your group who made need them. Swim at your own risk.

Booking Terms & Conditions

By booking an event at Moonlit Embers, the renter agrees to the following Terms & Conditions:

Booking & Payment

A 50% non-refundable deposit is required at the time of booking to reserve your event date and time. Your reservation is not confirmed until the deposit has been received.

The remaining 50% balance is due on the day of the event, prior to the event start time. The event may not begin until the balance has been paid in full.

Moonlit Embers currently accepts cash, check, and credit card payments. Credit-card payments are subject to an applicable processing fee, which is the responsibility of the renter and will be disclosed at the time of payment.

Event Insurance

Event insurance is required for all events held at Moonlit Embers. The renter is responsible for purchasing the required coverage and providing proof of insurance prior to the event.

Information and a link for purchasing event insurance are provided separately during the booking process. Failure to obtain the required insurance may result in cancellation of the event without refund of the booking deposit.

Cancellations

The initial 50% booking deposit is non-refundable. If the renter cancels the event for any reason, the deposit will not be returned.

Any cancellation or rescheduling requests should be communicated to Moonlit Embers as soon as possible. Approval of a rescheduled date is subject to venue availability and is at the discretion of Moonlit Embers.

Weather

Moonlit Embers includes outdoor spaces and amenities. Weather conditions may affect the use of certain areas of the property.

The renter understands that weather conditions are outside the control of Moonlit Embers. Unless Moonlit Embers determines that the property cannot safely accommodate the event, weather alone does not automatically qualify an event for a refund.

Property & Damages

The renter is responsible for the conduct of their guests and for any damage to the venue, property, equipment, furnishings, landscaping, or amenities caused by the renter, guests, vendors, or other individuals associated with the event.

The renter agrees to pay for repair or replacement costs resulting from damage beyond normal wear and tear.

Decorations, equipment, furniture, signage, or other items may not be permanently attached to or alter the property without prior approval from Moonlit Embers.

Vendors

Any outside vendors hired by the renter are the responsibility of the renter. Vendors must follow all Moonlit Embers property rules and any applicable local or state requirements.

Moonlit Embers reserves the right to require vendors to provide proof of appropriate insurance when applicable.

Guest Conduct, Water Areas & Safety

The renter is responsible for the conduct and safety of their guests while on the Moonlit Embers property. Children and minors must be appropriately supervised by a responsible adult at all times, particularly around the pond, dock, beach areas, fire pits, wooded areas, trails, and other outdoor features of the property.

There is no lifeguard on duty at Moonlit Embers. Use of the pond, beach, dock, and other water areas is at the renter’s and guests’ own risk. Life jackets and personal flotation devices are not provided by Moonlit Embers. Renters and guests are responsible for bringing and using appropriate life jackets or other personal flotation devices when needed, particularly for children, inexperienced swimmers, and anyone participating in water activities.

The renter is responsible for communicating these conditions to their guests and for providing appropriate supervision throughout the event.

Moonlit Embers reserves the right to stop any activity or require any individual to leave the property if their behavior is unsafe, disruptive, illegal, destructive, or creates an unreasonable risk to guests or the property.

Alcohol

If alcohol is permitted for an event, the renter is responsible for ensuring that all applicable laws and venue requirements are followed. Alcohol may not be served to or consumed by anyone under the age of 21.

The renter assumes responsibility for the conduct of guests consuming alcohol and for arranging safe transportation when necessary.

Event Time & Cleanup

The renter’s reserved time includes the agreed-upon event period and any setup or cleanup time specified in the reservation.

The property must be left in reasonably clean condition. All personal belongings, decorations, equipment, and other items brought onto the property must be removed within the agreed-upon timeframe unless prior arrangements have been made.

Additional charges may apply for excessive cleanup, damage, unauthorized overtime, or items left behind.

Compliance With Laws

The renter and guests are responsible for complying with all applicable federal, state, and local laws and regulations while on the property.

Illegal activity is prohibited and may result in immediate termination of the event without refund.

Venue Access & Use

Only the areas and amenities included in the renter’s reservation may be used. Certain areas of the property may be restricted.

The renter may not exceed the agreed-upon guest capacity without prior approval from Moonlit Embers.

Acceptance of Terms

Payment of the booking deposit constitutes the renter’s acknowledgment and acceptance of these Terms & Conditions.

By submitting payment, the renter confirms that they have reviewed and agree to Moonlit Embers’ booking, payment, insurance, cancellation, property, and event policies.
